The Centralized Repository of Cultivation Opportunities (CROCO) is a relational database used by and for several departments within the Office of University Development (OUD) for donor relations throughout the football season.
[edit] Business Need
- Manage requests for football tickets that units provide for their donors.
- Manage the guest lists for the Regent’s and President’s Tailgates, the Community Relations Tailgate, the Legislative Luncheon, and the Presidential Society Weekend.
- Manage requests from units for their donors to have dinner at the President’s House the evening before a game; gain access to the Regent’s Guest Area during the game; and/or watch the game in the President’s Box.
[edit] System/Application & Data Sources
CROCO is a relational database built in Microsoft Access, which exports data from and imports data to the Donor, Alumni and Constituent system (DAC) and the Development data set in the U-M Data Warehouse. CROCO also interfaces with OUD's online registration system, Kintera, which provides a customized web-based interface via online forms on OUD’s intranet, DevNet. Gift officers use the forms to recommend donors and prospects for football tickets and other event invitations. Transitioning to this formal online registration process was relatively straightforward because the development community was already familiar with these resources.
[edit] Project Purpose, Scope, & Deliverables
- Streamline the prospect and donor relations processes throughout the football season.
- Enhance collaboration between OUD and the development programs of schools, colleges and units.
- Simplify communications within OUD as well as between OUD and the development community.
- Enable staff within the U-M development community to track and analyze information submitted by over 45 giving units.
- Combine several distinct components of prospect and donor relations into one central resource and tailor the interfaces for each user group.
- Provide the ability to identify trends and improve planning efforts to control costs.
- Provide the ability to record decisions and detailed notes for future reference.
- Provide a comprehensive list of the event attendance history for prospects and donors.

In spring 2008 a needs analysis identified several operational challenges, primarily related to managing prospect and donor relations throughout the football season. By the 2008 football season, CROCO was operational, and University and Development Events used it to manage over 20,000 invitation records including over 5,000 requests for football tickets.
In its first year of operation, CROCO proved successful in centralizing football-related donor relations. Work has already begun to identify and implement new efficiencies for the 2009 football season.
