Discussion pt.: What is the niche for this group with regard to Aquifer needs?

Discussion pt.: How should this group feed deliverables to the IMLS grant?

Action: Naomi / Muriel will share draft of their NSDL presentation for this group to see.

BOaF outcomes:

  • DPs interested in metadata feedback.
  • DPs have granularity concerns re exposing/handling MD for complex objects.
  • Broad interest in how to describe sets.
  • Gen. interest in optional containers.
  • Aggregators reexposing MD needs best practices (rights, etc.).
  • Barriers: legacy data, programmers up to speed, queuing.
  • Discussion re MD formats beyond oai_dc. Need to interact with vendors, e.g. ContentDM, re best practices.
  • MS Project template to bring up a DP�can be a checklist.

Discussion: Aquifer background: Previously DODL. Supporting existing projects like American South and West. Additional work needed in lit and music. Short term need in MD requirements for inclusion in American West. American West expressed interest in using MODS as required MD.

Cornell/NSDL: Need identified for MD consulting for new projects. MD quality session turned down by NDSL for NSDL all-projects meeting.

Status of Wiki docs: DP practices issues defined. Shareable MD sections begun. Sets sections begun.

Wiki suggestions:

Idea: One or two people should serve as editors to put links where they need to go.

Action: Sarah and Kat will serve as editors. They will configure their profiles for notification of changes.

Idea: If someone is working offline on a section, s/he should point that out on the wiki. Idea: The wiki isn't the spot to propose ideas; use the (whole) list instead.

Action: Discussion and ideas should go to the OAI Best Practices listserv.

Idea: We need a more coherent web presence.

Action: Sarah will get some DLF web space for our group; it will include our report.

Action: Deliverables should include checklists for DPs to follow.

[edit] Priorities

1. Shareable MD concerns

Process question: How prescriptive should we be, e.g. with oai_dc at the element level?

Idea: Give ranked alternatives of how to express values in given elements.

Idea: Give examples of best and worst practices.

Idea: Bring in existing documentation, e.g. RLG Cultural Materials guidelines.

Concern: Focusing on oai_dc will cause readers to concentrate on it at the expense of richer metadata.

Consensus approach: Emphasize shareability concerns. Organize by element rather than MD format, e.g. date or title, with examples from various MD formats. Explain issues, identify problems, give best practices. Focus on most problematic elements and elements most important for access.

2. DP implementations (sets ((incl. set descriptions, which are a priority for Aquifer; relevance of DC Collection Description WG; creation advice, overlaps, exclusions); workflow; optional containers; datestamps; persistent IDs)

3. Tools currently in use [subsume temporarily under 1 and 2]

4. DP/SP communication (e.g., documentation, incl. app. profiles, mappings) [Discussion: Need for MD documentation more broadly, e.g. application profiles.] [subsume temporarily under 1 and 2]

Question: How should we address DP vendor issues/limitations? Muriel has begun a vendor feature matrix and Naomi will complete it. They will share this with the group. Possible to-do: List of questions to ask your vendor. These would be outside the best practices doc, but on our web site.

Spring 2005 DLF is the next milestone.

Targets:

1) Draft document for public review and comment that covers our priority areas. 2) First version of supporting web site.

Steps:

1) Sarah and Kat dedupe the wiki (by mid-Nov.). 2) Section leads set target dates for priority sections, roughly by mid-Feb. 3) S and K edit doc for organization and solicit feedback.

Section leads:

  • Shareable MD--Jenn.
  • DP implementations--Tim.

Consider while working: Identify sections that concern tools and DP/SP communication.

Action: Put links to sources re tools in a separate section on the wiki.

Action: Use main listserv for as much communication as possible.

Consider while working:

  • Follow our 'style guidelines' from July when writing.
  • Use OA Forum Glossary when possible glossary for consistency of terms.
